Preparing 2010 Year-End Forms for Clients

Prompt for state account number: If you're prompted for a state account number when preparing W-2 forms for a client, then we've detected that the company or employee is subject to taxes in that state. You must either enter the state account number or remove the account number requirement before you can continue processing forms.

If you're not sure if your client is subject to the taxes in the state, run the Payroll Tax & Wage Summary report for the 1/1/2010 - 12/31/2010 period and check to see taxes have been calculated for the state agency.

Client must have an account in 2010 to file 2010 forms: To file a client's year-end forms, the client must have had a payroll account and run payroll in 2010. You cannot create an account for a client in 2011 and file 2010 year-end forms.

Reactivating Clients for Year-End Filing

You may have clients who used the payroll service to run payroll in 2010, but subsequently canceled. In the beginning of January, we'll add an item to their To Do list that lets them reactivate the service and file year-end forms.

To reactivate a client's account for year-end filing:

  1. Log in to the client's account.
  2. In the To Do list, click Reactivate your account for year-end form filing.
  3. Accept the reactivation.

Note: Only those clients who ran payroll in 2010 and don't have any outstanding billing issues can be reactivated for year-end filing.
