Set up Sync Manager on one client machine. We'll refer to this machine as the "Sync Machine."
Sync Machine Recommendations
We'd recommend using a client machine to install Sync Manager. The most common use case is to use the same machine payroll is run on.
While it's possible to install QuickBooks and Sync Manager on the server itself, you may experience some technical difficulties getting this to work. A few examples are additional QuickBooks licenses, limited capabilities of the operating system on the server, and firewall issues.
Sync Machine Requirements
QuickBooks must be installed in order to install Sync Manager.
All latest updates installed. To install the latest updates, open your QuickBooks company file and click Help > Update QuickBooks.
QuickBooks Administrator user
QuickBooks Master company file
The QuickBooks file location should be stored on the company server. To check the location, while in QuickBooks, press F2. The location will be listed in the File Information section.
This machine must always be logged in with a Windows Administrator user in order for Sync Manager to run. If this machine is not in a close vicinity as the other machines, we'd recommend setting up automatic sync options. From Sync Manager, choose Options > Automatic Sync Options.
Once setup, QuickBooks does not have to be open in order for Sync Manager to run.
Remote Login Information
Sync Manager is tied to the person who originally logged into the computer to set it up. If another user logs into the computer by physically sitting in front of it, then they try to log into the computer again remotely, the computer may see the user as a different person. The physical login may be different from the remote login.
In the case of hosted QuickBooks files, you may experience issues setting up sync manager depending on the login rules for the hosted site. You will need to work with your hosted site company to get exact info.
Running Payroll and Syncing after the Sync Machine is Setup
You can run Intuit Full Service Payroll from any location.
As long as the file is hosted on a company server, your Intuit payroll data will be synced to your QuickBooks file.
