Sign up for e-file and e-pay

If you did not sign up for e-file and e-pay when you set up payroll taxes, you can do so now.

To sign up for e-file and e-pay:

  1. In the left navigation bar, click Taxes > Payroll Tax. Then click the Edit your e-file and e-pay setup link.
  2. Select E-file and e-pay and the states you want to enroll.
  3. Connect your bank automatically, if prompted.

    or

    Connect your bank using account and routing numbers.

  4. E-sign the authorization forms.
    This authorizes us to pay taxes and file tax forms on your behalf.

You did it! We'll let you know if you need to do anything else to finish signing up for e-file and e-pay by displaying a list of tasks.

Because each state tax agency has different requirements for e-file and enrollment, we'll show you a customized task list with info and links to guide you. You can return to this task list by clicking the Finish payroll tasks button on the Employees page.

You should allow at least one week for federal enrollment. Enrollment times for state e-file and e-pay vary depending on the state's response time for the request.

After you've complete e-file and e-pay enrollment, you can approve tax payments on the Taxes > Payroll Tax page when they are due. You must approve all electronic tax payments no later than 5 pm (PT) two banking days before the payment date.

I already file and pay electronically with the IRS and state agencies. Do I still need to sign up for e-file and e-pay in QuickBooks Online?

We recommend signing up for e-file and e-pay in QuickBooks Online even if you're already set up to file and pay electronically with the IRS or state agencies. Signing up for e-file and e-pay makes tax payments and form filings automatic—all you need to do is approve the tax payment or form.

For example, when you sign up for e-pay, you won't need to transmit your federal payment data using the Electronic Federal Tax Payment System (EFTPS) software or the voice response (telefile) system. All you need to do is approve your tax payment in QuickBooks Online. We take care of the rest for you.
