Form W-2: Printing for employees

Provide your employees with their copies of Form W-2 by January 31, 2017. Before you print the copies, verify employee information (such as address, wage, taxes, and benefits).

  1. Make sure that you have the correct paper in your printer, and you have set up your printer to only print on one side of the paper. What kind of paper do I need to print Forms W-2?
  2. Go here.
    (Or click the To Do tab.)

  3. In the It's time to file forms section, click the W-2, Copies B, C & 2 link.
  4. In Form W-2 Printing Settings, choose the type of paper you want to print on.
  5. In the Printable Employee Copies: Form W-2 window, click View and review and print:
  6. Click the print icon.
  7. Print only on one side of the perforated or blank paper — you don't want to accidentally print another employees' information on the back.

  8. Review the printed copies, and then click Archive to store an electronic copy for future reference. (Clicking Archive also removes the form reminder from your To Do list.)
  9. Distribute the printed copies to your employees. If you mail them, the postmark must be no later than January 31, 2017.
